Fixing Data Discrepancies Between Analytics Tools and CRM Systems

The most common scenario that can happen to any business is discrepancy of information, basically mismatch of data. For example, your Google Analytics report shows 1,000 conversions. Your CRM shows 850. Your ad platform claims credit for 1,200. Which number is correct?

You cannot just say ‘Okay, I’ll check it next time’ because that is literally the foundation of your entire business strategy. When your data tells conflicting stories, you can’t trust your insights, your reports, or your decisions.

In today’s blog post, Intactdia team will help you to identify and solve the data discrepancies between your Analytics and CRM systems.

Step 1: Isolate the Discrepancy

First, you need to pinpoint exactly where the problem lies. Don’t just say “the numbers are wrong.” Get specific. Guide yourself with these questions:

  • Which reports are conflicting?
  • Which specific metrics are affected (e.g., clicks, conversions, revenue)?
  • What is the time frame of the discrepancy?
  • Is it a recent issue or has it been happening for months?

The more you can narrow down the scope, the easier it will be to find the cause.

Step 2: Formulate a Hypothesis

Based on your findings from Step 1, develop a few educated guesses. For example,if clicks are higher than sessions, your hypothesis might be: “The discrepancy is caused by users clicking the ad but leaving before the analytics tracking code on the landing page can fully load.”

Step 3. Test Your Hypothesis

Now it is time to test your hypotheses. Dive into the raw data. Use debugging tools like the Facebook Pixel Helper or Google Tag Assistant to check your tracking implementation. You need to identify at which stage when the discrepancy starts to happen.

Step 4: Implement the Fix

Once the root cause is validated, take corrective action. The most common errors happen because of the broken tracking tag, aligning time zone settings across platforms, establishing a company-wide UTM naming convention, or adjusting the attribution model in one of your tools to better match the other. This part is the most important one, and if you’re having problems in solving it, do not hesitate to contact the Intactdia team. With our 10+ years of experience in web development, we can solve the data discrepancy on your website in a couple of days.

Step 5: Document and Monitor

Resolving the issue isn’t the final step. You need to carefully document what the problem was, how you found it, and how you fixed it. This creates a knowledge base that can help your team solve similar issues faster in the future. And of course, make sure that this discrepancy does not appear again.

Fixing every discrepancy can be a very long process, sometimes we suggest to keep some discrepancy within acceptable range.Your goal isn’t to make every platform match exactly, but to to understand why they differ.
